Who we are
This website, coastalnetball.com.au, is operated by Coastal Netball ("we", "us"). We run netball programmes on the Western Australian coast: the Pathway Academy, holiday camps, skills clinics and the Coastal United representative programme.
What we collect
We only collect what you give us. When you register interest or send an enquiry we collect:
- your name, or the name of the parent or guardian completing the form;
- your email address;
- which programme you are interested in;
- optionally, the player's first name and age group; and
- anything you choose to write in the message field.
We ask you not to include health, medical or other sensitive information in enquiry forms. If a programme later needs that information (for example, medical details for a camp), we will ask for it separately, explain why, and tell you how it is stored.
Event registrations
When you register for an event (a clinic, camp or series of sessions) we collect what that event's form asks for. Every event asks for the participant's name and an email address for the confirmation. Depending on the event it may also ask for a date of birth or age group, school or club, playing experience and positions, a parent or guardian's name and mobile number, an emergency contact, shirt size, and answers to any questions specific to that event. The form shows which fields are required.
Some events ask for medical conditions, allergies or injuries so the coaches can keep the player safe. That is health information. We ask for it only when the event needs it, the form tells you when a field is health information, it is seen only by the Coastal Netball staff running the event, and it is used for nothing else.
A registration holds a place where the event has limited places. This website does not take payments itself: where an event has a fee, we send you to a payment page run by Stripe, and your email address and registration number go with you so we can match the payment to the registration. We never see or store your card details. We send a confirmation email to the address given, and a copy of each registration to the Coastal Netball staff inbox. Registrations are kept until the event has run and for no more than twelve months afterwards, then deleted, unless the participant goes on to enrol in a programme.
Children and families
Most of our players are under 18. We ask that a parent or guardian completes enquiry forms for a junior player. We collect only a child's first name and age group at the enquiry stage, and only to point you to the right programme. We never publish a child's details, and we never share one family's information with another.
Why we collect it
We use your information to:
- respond to your enquiry;
- send you information about the programme you asked about, including dates, venues, fees and how to enrol;
- run the programmes you enrol in, if you go on to enrol; and
- keep our records accurate.
We do not sell or rent your information, and we do not use it for advertising by third parties. If we want to send you general news about Coastal Netball beyond the programme you asked about, we will ask first and you can opt out at any time.
Cookies and analytics
This site sets no cookies and loads no third-party trackers. We count visits with Umami, an analytics tool we host ourselves in Australia. For each page view it records the page, the site that referred you, your screen size, browser and operating system, and a country worked out from your IP address. The IP address itself is not stored, and nothing is kept on your device, so we cannot recognise you on a later visit or follow you to other sites.
When a form is sent we also count that it was sent and which programme, topic or event it was about. That count never includes anything you typed. If what we collect changes we will update this policy first and, where required, ask for your consent.
Where it is stored and who can see it
Enquiries and event registrations are stored on systems we control, hosted in Australia. Only Coastal Netball staff and volunteers who need it to respond to you or run the event can access it, behind a password. Email is delivered through a third-party email service; a copy of a message may pass through that provider's systems, which may be located outside Australia. We choose providers that commit to protecting your data.
How long we keep it
We keep enquiry details for as long as we need them to respond and to tell you about the programme you asked about, and no longer than two years after your last contact with us unless you enrol. Enrolment records are kept for the period required by law and our insurers.
Your rights
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Contact us through the contact page and we will respond within 30 days. If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
Security
We use encrypted connections (HTTPS) across this site, restrict access to enquiry data to the people who need it, and review our systems regularly. No system is perfectly secure; if we become aware of a breach that is likely to cause you serious harm we will notify you and the Commissioner as the law requires.
Changes
We will update this policy when the way we handle information changes — for example, when online enrolment and payment are introduced. The date at the top tells you when it was last revised.
